How to use the inventory tracker

  1. Click Clear samples and start, then add each product with a SKU (your own short code), name, unit cost, opening quantity and reorder level.
  2. Record stock as it moves. Use + In when a delivery arrives and − Out when you sell or use something. Each movement goes in the log with a date and note.
  3. Check the Reorder list tab before you place orders. It lists everything at or below its reorder level, with a suggested quantity and cost.
  4. Download a backup now and then from the Export and backup tab.

The four boxes at the top update as you go: number of items, units in stock, total stock value at cost, and how many items are low or out.

Where your data is kept

Everything is saved in your own browser. There’s no account, and nothing is uploaded, so it’s private and fast. The trade-off is that your inventory lives on one device. To use it on another computer, download a backup, open this page there and restore the file. Clearing your browser data deletes the inventory, so keep a recent backup.

If several people need to update stock at the same time, you’ve outgrown a browser tool. A shared spreadsheet or proper inventory software is the better fit at that point.

Setting reorder levels

The reorder level is the quantity that should trigger a new order. A simple way to set it:

StepExample: sage mugs
How many you sell in a typical week3
How many weeks a new order takes to arrive2
Weekly sales × lead time3 × 2 = 6
Add a small buffer for busy weeks6 + 2 = 8

Set the reorder level to 8 and you’ll be warned with roughly two weeks of stock left. The suggested order on the reorder list brings each item back up to twice its reorder level. Raise the multiplier if your supplier has a minimum order or your lead times are long.

Tips from running stock counts

Use count corrections for stock takes. When a shelf count doesn’t match, choose “Count correction (set to)” and enter what’s actually there. The log keeps the difference, so you can see how much goes missing or gets damaged over time.

Keep SKUs short and consistent, like MUG-01 and MUG-02. You’ll type them often, and sorting by SKU groups related products together.

Add a note to every stock in, such as the supplier or purchase order number. When a cost changes or a delivery is short, the log tells you which order it was.

Exporting to Excel

The Items and Stock movements buttons download CSV files that open straight into Excel or Google Sheets. The items file includes stock value per item, which is handy for year-end stock valuation. An Excel inventory template is coming soon if you’d rather keep everything in a spreadsheet.

Frequently asked questions

Is this inventory tracker free?

Yes, with no sign-up and no item limit.

Can I use it on my phone?

Yes, it works in a phone browser. Your phone keeps its own separate inventory, so use backup and restore to move data between devices.

What happens if I sell more than I have in stock?

The tracker stops the movement and tells you how many are left. If the shelf count is right and the record is wrong, use a count correction instead.

Can I undo a mistake?

Yes. The most recent movement has an Undo button in the Stock in / out log.
