How to use the invoice generator

  1. Type your business name, address and contact details in the From box. Add your logo if you have one (PNG, JPG or SVG, under 500 KB).
  2. Fill in the client’s details, the invoice number and the dates. The due date starts at 14 days from today; change it to match your terms.
  3. Add a line for each product or service, with the quantity and rate. Amounts and totals update as you type.
  4. Set a discount, tax rate and shipping if you need them. The discount can be a percentage or a fixed amount, and tax is worked out after the discount.
  5. Click Print or save as PDF. In the print window, choose “Save as PDF” as the printer to get a file you can email.

The preview at the bottom shows exactly what prints. The form, buttons and ads are left off the page.

Saving your details for next time

Click Save my details once you’ve entered your business info, logo, currency, tax rate and payment terms. They’re stored in your own browser, so the next invoice opens with them filled in. Nothing is sent to our server, and we never see your clients or amounts.

That also means the saved details stay on the device and browser you used. Clearing your browser data removes them, and they won’t appear on your phone if you saved them on your laptop.

Next invoice moves the number up by one (INV-0007 becomes INV-0008), clears the client and line items and keeps everything else. It’s the quickest way to send a batch of invoices at the end of the month.

What to put on an invoice

ItemWhy it matters
Invoice numberEvery invoice needs a unique number for your records and the client’s accounts team
Invoice date and due dateClients pay against the due date, so “Net 14” or “Net 30” should match what you agreed
Your details and the client’sFull business names and addresses; some clients won’t process an invoice without them
Line itemsOne line per product or service, with quantity and rate, so the client can check each charge
TaxShow the rate and amount separately if you’re registered for sales tax or VAT
Payment termsHow to pay (bank details, payment link) and any late fee

Use a numbering pattern you won’t outgrow. INV-0001 leaves room for 9,999 invoices; INV-1 sorts badly once you pass INV-9.

Tips from sending invoices

Put the payment instructions in the notes box every time, even for repeat clients. Invoices get forwarded to accounts teams who’ve never worked with you, and missing bank details is the most common reason a payment sits for an extra week.

Write line items the way the client thinks about the work. “Homepage design, 2 rounds of revisions” gets approved faster than “Design services”.

If you charge tax, check the rate for the client’s location as well as your own. Rules differ by country and state, and this tool doesn’t apply them for you.
